The practical answer

An employment-law intake checklist organizes the information a firm asks its intake team to collect, such as contact preferences, the reason for the inquiry and relevant dates stated by the caller. The checklist prepares attorney review; it does not determine a claim or deadline.

Begin with safe contact

Ask how the person can safely receive a callback and whether there are restrictions on messages. An employee may not want a workplace number or shared email used. Follow the firm's process and record the preference so the next person does not have to ask again.

Let the caller explain the reason

Use a short narrative field before the firm's required questions. Collect employer and work-location information only as authorized, and record dates the person supplies without calculating deadlines. Differentiate a prospective-client inquiry from an existing-client request.

Record missing information separately

A caller may not have documents or know an exact date. Mark the field as unknown or awaiting information instead of guessing. If the firm asks for documents, explain the approved submission route and who will review them. Avoid implying that providing a document confirms representation.

Finish with the review request

The handoff should state what is complete, the main question and the next step. Appointment coordination, conflict review and case acceptance need separate statuses. Attorneys decide what the facts mean and whether the firm will take the matter.

What should the record contain?

Use the fields your team needs for this request. Keep unknown information visible, use only approved access and make the receiving owner clear.

  • Safe callback details and contact preference
  • Practice area and location stated by the caller
  • A concise account of why the person contacted the firm
  • Relevant dates the firm asks agents to collect
  • Whether an inquiry or consultation already exists
  • Missing intake fields or documents requested by the firm
  • Questions requiring attorney review
  • Next owner, appointment status and stopping rule

The law firm sets screening questions, conflict-review requirements and urgency rules. Attorneys decide legal advice, strategy and whether to accept a matter. Intake support organizes the conversation and handoff.

A workflow example

A prospective client started an employment-law intake but stopped before booking. The agent checks whether the firm can safely call back, gathers the missing fields the firm requires and records a question about which documents to bring. The agent arranges a consultation request or available appointment under the firm's rules. The attorney retains the decision about advice and representation.

Illustrative workflow, not a client case study or reported result.

Measure the completed next step

Agree on eligible records, the reporting window and which system confirms the outcome. Remove duplicates and show unresolved work instead of hiding it inside completed-call totals.

Define outcomes before comparing results
Measure Definition
Intake completeness Records meeting the firm's required fields divided by eligible intake records.
Consultation attendance Attended consultations divided by confirmed bookings in the same period.
Attorney-review handoffs Requests acknowledged by the designated firm contact.
Quality and privacy Approved questions, access permissions and caller preferences reviewed in QA.

Questions about legal intake

Should agents assess whether discrimination occurred?

No. Record the caller's account and use the firm's approved routing criteria. A lawyer evaluates legal questions.

What if the caller mentions a deadline?

Record the concern and follow the firm's urgency process. Do not calculate or give reassurance about legal time limits.
