Script changes during the season need the same approval path as pre-season scripts, with a briefing before the new version goes live. Keep the licensed boundary fixed: a long queue is a reason to book appointments, never a reason for support agents to answer plan questions.

AEP follow-up and beneficiary communication

During AEP, follow-up includes callback requests, appointment reminders and no-show recovery, and it only reaches people who contacted you or gave the consent your program documents. Your compliance team sets attempt limits, approved channels and message wording. Phone is primary; SMS and email reminders are used only where consent records support them. Opt-outs and do-not-call requests are honored immediately, even when the season is at its busiest.

A dated ramp plan

Ask for a written timeline that works back from October 15: forecast sign-off, hiring, training, script release and test calls. A provider that says staff can be ready on short notice without a plan has not accounted for your script approval time.

Start well before October 15, early enough to forecast volume, hire and train agents and receive approved scripts for the new plan year. Script approval is often the longest step, so set your compliance release date first and plan training around it.

What are the AEP and Medicare Advantage OEP dates?

The Annual Enrollment Period runs October 15 through December 7. The Medicare Advantage Open Enrollment Period runs January 1 through March 31. Seasonal staffing plans usually cover both, with a smaller team after December 7. Planning both periods together avoids releasing trained agents just before MA OEP questions arrive.

Can seasonal AEP agents talk about Medicare plans?

No. Seasonal support agents greet, qualify on approved questions, schedule and warm-transfer callers. Plan, benefit and enrollment conversations stay with your licensed, appointed agents, however busy the queue becomes. When transfer queues back up, the approved fallback is to schedule an appointment or callback, never to answer the plan question directly.

Can you handle AEP overflow only?

Yes. Overflow can be triggered by time of day or by a queue threshold you choose. Agents transfer to available licensed agents or book appointments and callbacks when none are free. You keep your internal team as the first line, and every overflow call is recorded and dispositioned in the same fields your team uses.

What happens to calls after AEP ends?

Calls shift toward service questions such as ID cards and provider networks, plus MA OEP inquiries. A smaller core team can route those calls under your rules while open records from AEP are reassigned. Service questions are routed to the plan's member services or the writing agent according to your rules, not answered by support agents.
