The practical answer

A renewal-support script confirms the purpose of contact, collects approved administrative information and coordinates producer review. It should not let a support agent recommend coverage, interpret the policy or promise a price change.

Start with the approved verification process

Example: 'This is [agent] calling for [agency] about your upcoming renewal review. Before discussing the account, I'll follow the verification steps your agency requires.' Do not disclose policy details before the permitted process. Use the actual agency record rather than assume the person reached is the policyholder.

Ask for the concern in the customer's words

Example: 'Is there an administrative item you need help with, or a question you would like your producer to review?' Record the concern and collect only the information approved for support. A premium question belongs in the producer-review route, not an improvised explanation.

Offer the permitted next step

Example: 'I can arrange a review request with your licensed contact and include that question.' If the agency permits direct booking, confirm the appointment. If not, explain the request-and-confirm process. Do not describe either action as a completed renewal.

Close with status and ownership

Confirm the appointment or request, the receiving contact and any approved document step. Record declined contact or a cancellation question distinctly. These scripts are illustrative and need agency approval for the specific audience, permissions and communication process.

What should the record contain?

Use the fields your team needs for this request. Keep unknown information visible, use only approved access and make the receiving owner clear.

  • Account identifier through the approved verification process
  • Policy or renewal reference
  • The policyholder's stated concern
  • Documents or information the agency requests
  • Relevant notice or review date
  • Preferred callback details
  • Assigned licensed producer or service contact
  • Next action and acknowledgement

Your agency defines administrative permissions and who can perform licensed activities. Coverage recommendations, policy interpretation, binding and permitted policy changes belong with appropriately authorized licensed staff.

A workflow example

A policyholder calls after receiving a higher renewal bill. The agent records the concern, checks the account through the agency's approved process and offers the permitted next step: a review with licensed staff. The agent does not explain the increase from memory or promise a cheaper policy. The producer receives the concern and any required administrative context before the call.

Illustrative workflow, not a client case study or reported result.

Measure the completed next step

Agree on eligible records, the reporting window and which system confirms the outcome. Remove duplicates and show unresolved work instead of hiding it inside completed-call totals.

Define outcomes before comparing results
Measure Definition
Reached renewal records Verified contacts divided by eligible renewal records worked.
Review completion Completed producer reviews divided by scheduled reviews.
Acknowledged handoffs Specialist requests accepted by the named agency contact.
Renewed accounts Completed renewals confirmed by the agency; separate from reminders and bookings.
Person reviewing charts on a laptop
Review useful context and confirmed outcomes

Questions about insurance agency support

Can agents tell a customer which limits to choose?

Coverage recommendations belong with appropriately authorized licensed staff. The support script should route that question.

What if the customer asks to cancel?

Record the request and follow the agency's authorized cancellation route. Do not imply that a pending review changes coverage or account status.
